Travel expenses for a sales team are exceeding the allocated budget. Flights are sometimes double booked due to forms being misplaced in the paper-based manual process. The process is often delayed by approvers being out of office on vacation or business travel.

A developer builds an application that scrapes flight booking websites for the costs of flights. The data shows that the company has been booking tickets at the last minute when they are at their highest.

The team is now back under budget by booking their flights 2 weeks in advance based on the insights uncovered by the application. Virtualizing the approval process has addressed the duplication efforts and provided an audit trail of each request processed. Moreover, if an approver is flagged as out of office in the company calendar their tasks are handed off to the next available approver.

An HR Department uses a paper-based leave form. Each time an employee requests leave, they have to locate the latest form, print, manually fill out all the details and walk it over to their manger to sign and then over to the HR Department. If an employee wants to know how much leave they have remaining, they will have to directly contact HR to review the records.

A leave request form and workflow are built by the development team. The form pulls directly from the HR system and shows all pending, approved and remaining leave. The requester submits the type of leave and dates, then submits the form which is sent to the relevant manager. If the manager is not in office the form is sent to an approval group to pick up. The approver is also alerted to conflicts with other approved leave requests. If the form is rejected, it is sent back to the requester with comment to be changed and resubmitted or cancelled. If the form is approved, it is sent on directly to the HR system.

The organization is now able to save time and resources as well as efficiently and accurately track and approve staff leave while maintaining optimal staffing levels within the department.
